What personal data we collect

We collect personal data only when you actively provide it to us, mainly through the contact form on this site. This can include:

  • Name
  • Email address
  • Company name (optional)
  • Role (optional)
  • The content of your message, including any project or KPI details you choose to share

We do not require you to create an account, and we do not process any payment or financial data on this website, since all engagements are agreed and invoiced separately, outside this site.

Why we process your data (legal basis)

We process the data you submit through the contact form in order to respond to your enquiry and, where relevant, prepare a proposal or quotation. This is based on:

  • Article 6(1)(b) GDPR, where processing is necessary to take steps at your request prior to entering into a contract, and
  • Article 6(1)(f) GDPR, our legitimate interest in responding to enquiries and maintaining a functioning business website.

Where you have given explicit consent, for example by ticking the GDPR consent box on the contact form, we also rely on Article 6(1)(a) GDPR. You can withdraw this consent at any time by contacting us; this does not affect the lawfulness of processing carried out before withdrawal.

Who we share your data with

We do not sell or rent your personal data. We may share it with service providers who support the operation of this website and our business communications on our behalf, under data processing agreements where required, such as:

  • Our website hosting provider
  • Our contact form provider (WPForms)
  • Our email provider, for responding to your enquiry

These providers only process data as far as necessary to deliver their service to us, and are not permitted to use it for their own purposes.

International data transfers

As we work with clients and, in some cases, service providers outside the European Economic Area (EEA), personal data may occasionally be transferred outside the EEA. Where this happens, we rely on appropriate safeguards recognised under GDPR, such as the European Commission’s Standard Contractual Clauses, or transfers to providers operating under an adequacy decision.

Cookies and embedded content

This site uses a small number of essential cookies required for it to function correctly, and, only with your consent, Google Analytics to understand how visitors use this site (for example, which pages are visited and how long a visit lasts). Google Analytics cookies and data collection are switched off by default and only activate if you click “Accept” in the cookie banner shown when you first visit. You can change your choice at any time using the cookie settings link in the site footer. For full details of the individual cookies used on this site, see our Cookie Policy.

If you leave a comment or interact with embedded content from other websites, that content may collect data about you and use cookies in line with that third party’s own privacy policy, in the same way as if you visited that website directly.

How long we retain your data

We keep enquiry and contract-related correspondence for as long as necessary to respond to your enquiry, deliver any agreed services, and meet our legal and tax obligations under German law, which can require retaining business correspondence and invoices for up to 10 years. Where data is no longer needed for these purposes, we delete or anonymise it.

Your rights

Under the GDPR, you have the right to:

  • Request access to the personal data we hold about you
  • Request correction of inaccurate data
  • Request erasure of your data, where applicable
  • Request restriction of processing, where applicable
  • Object to processing based on legitimate interest
  • Request data portability, where applicable
  • Withdraw consent at any time, where processing is based on consent
  • Lodge a complaint with a data protection supervisory authority, such as the Hamburg Commissioner for Data Protection and Freedom of Information (Der Hamburgische Beauftragte für Datenschutz und Informationsfreiheit)

To exercise any of these rights, contact us at info@servicekpi-analytics.com.

Changes to this policy

We may update this Privacy Policy from time to time, for example as our services, tools, or legal obligations change. The date at the top of this page shows when it was last updated.
